Getting started
What do I need to get set up?
Setup takes about four minutes. It helps to have these ready:
- Your property's name and how many units it has
- A list of your units: each one's name, whether you own it or rent it from a landlord (and the monthly rent), and its monthly bills such as water and electricity
- The M-Pesa Paybill, Till or phone number booking payments should be paid out to
- Your property manager's name and phone number (optional)
Don't have something yet? Skip that step and finish it later from your dashboard.
What do I need to sign up?
Just your name, phone number, email address and a password. Creating an account is free and there's nothing to pay today.
I have a lot of units. Do I have to add them one by one?
No. Download our units template, fill it in, and upload it. You can also add just a few now and the rest later, however many your property has.
Do I need to add guests during setup?
No. You can add a guest who's already staying if you like, but new bookings are usually made later from the Bookings page.
Can I finish setting up later?
Yes. Every step can be skipped, and your progress is saved. Your dashboard shows a "Finish setting up" checklist that takes you straight back to whatever is left, on any device.
Guests and bookings
How do guests pay?
By M-Pesa. They can dial *789*1800# and pay their booking, or you can send an M-Pesa prompt to their phone. Payments are recorded against the booking automatically and guests get an SMS receipt.
Do my tenants or guests need a smartphone or internet?
No. They can pay and report issues by dialling *789*1800# on any phone, even a basic kabambe, and they get reminders and receipts by SMS. Those with WhatsApp can use our WhatsApp assistant too.
Can I track what each unit costs me?
Yes. Record each unit's water, electricity and any other monthly bills, get SMS reminders before they're due, and see what every unit costs you against what it earns.
Where does the money go?
Straight to your own M-Pesa Paybill, Till or phone number. You choose it during setup, or later in Settings → Payment Integration, and can change it any time.
Can my caretaker or property manager use PropMS?
Yes. Invite them with their name and phone number and they get their own portal at caretaker.propertyms.org. They sign in with their phone number and a PIN, and only see the properties you assign to them.
Pricing and account
How much does PropMS cost?
There's no charge to sign up or set up. After that:
- Standard, up to 30 units: KES 7,000 a month
- Growing, 31 to 50 units: KES 12,000 a month
- More than 50 units: we'll put together a custom quote
Plans are billed at the end of each month (on the 28th) via M-Pesa, and setup help is included.
Can I cancel?
Yes, any time. Email info@propertyms.org and we'll take care of it.
Is my data safe?
Your data is only used to run PropMS for you. We never sell it, and caretakers and property managers only see the properties you assign to them. Our Privacy Policy explains exactly what we collect and why.
